Name, email address, phone number, and business details when you enquire or sign up
Business information provided during client onboarding (company name, service areas, job types)
Payment information processed through Stripe (we do not store card details directly)
Communications you send to us via email or through our website
Information generated by our service:
SMS conversation data from lead qualification and quote follow-up workflows
Lead information submitted through client enquiry forms
Quote and booking data tracked in client dashboards
Call recordings and transcripts where AI voice agent features are deployed for a specific client
Performance and usage data (response rates, booking rates, response times)
3. How We Use Your Information
To deliver and operate the SideMind service you have contracted us for

We do not sell your personal information to third parties. We do not use your data for advertising purposes.
4. Third-Party Services We Use
To deliver our service, we use the following third-party platforms. Each has its own privacy policy and data handling practices:
Sinch MessageMedia — SMS sending, receiving, and sender ID infrastructure
Retell AI — voice agent platform and call phone number infrastructure (only when voice features are deployed; call recordings and transcripts)
Make.com — automation workflows
Google Sheets — lead data storage
Calendly — appointment booking
Notion — live business dashboard storage
Stripe — payment processing
Anthropic (Claude API) — AI conversation processing
5. Data Storage and Security
Your data is stored on secure third-party infrastructure. We apply reasonable technical and organisational measures to protect your information from unauthorised access, loss, or disclosure. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
Data is stored for as long as you are a client, plus 90 days after cancellation. After that period, your data is deleted or anonymised unless we are legally required to retain it.
6. Your Rights Under Australian Privacy Law
Under the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs), you have the right to:
Access the personal information we hold about you
Request correction of inaccurate information
Request deletion of your information (subject to legal retention requirements)
